As fellow vets and founders of Virtual Recall, our reputation has been built upon our integrity, as we know how important your data is to you and we take this most seriously. Protecting your data has always been central to what we strive to do at Virtual Recall and the way we have designed our software to work is based on this principle. We comply with all Data Protection legislation, including GDPR, PECR, TCPA, CanSpam and CASL.
How do we use your data?
iRecall® software only ever reads the data that it needs to in order to send communications, or generate the statistics that we present to you on your dashboard. Each integration can differ, but in most cases we read this data live from your database, avoiding any need to keep a secondary copy of your database. This ensures that data is as up to date as possible when we come to read it. We’re pretty unique in this approach, but we think it’s best for you.
What about my client’s personal information?
Personal data is protected under GDPR so we are a data processor of this information, working on your behalf - you are the data controller. This means that we don’t pass your clients details to any third parties, other than to provide our services (such as the mobile networks to deliver a text message - we call these Sub-processors). If you would like to know more about the rules around processing personal information so you know what you can and can’t do, then please do get in touch.
What data do we store?
We securely store a range of data in order to provide you with the best possible service. For example we save all the messages we have sent in our message logs, so you can see who has been communicated with, or if there was an issue with the message. This data is only accessible by you and your team, and the Virtual Recall team so we can assist with enquiries. It is stored in a secure and encrypted Microsoft Azure datacentre. We are also ISO27001:2013 accredited, which ensures we have the best information security processes in place to help prevent issues.
Do we do anything else?
We can help you manage client communication preferences (to manage opt in and opt outs); We also use fully anonymised, aggregated data to look at performance of the service. This helps us ensure it is working as hard as possible for you. If we are providing the service subsidised by a mutual partner (such as a pharma company), then with your understanding, we may share this high level data with them (such as monthly sales of only their products), but they would never be able to identify individual clients or pets and never market to them directly. What about Zoetis?
Virtual Recall was acquired by Zoetis International in July 2020, in order to help us expand further by developing our product and growing into new countries. Despite this we will continue to run all our systems entirely independently of other Zoetis systems and no data is passed outside of Virtual Recall.
What to do if you suspect an issue?
Please get in touch with us as soon as you are able. We will work with you and help carry out any actions that may be necessary. Fortunately, this is very rare.
